This initial setup fee covers the core service required to begin your booking. It secures your date, opens your reservation, and lets you select the number of tents, sleeping arrangements, upgrades, and add-ons that best fit your group. Once this setup is complete, you can customize your entire experience — choosing tiers, enhancements, and payment options that best suit your event.
Purpose of the Setup Fee
This initial setup fee secures your date, opens your reservation, and activates our planning process. It allows us to begin preparing your campsite experience, coordinating logistics, and managing the foundational details needed to bring your event to life.
What This Fee Covers
This fee includes the core services required to launch your booking: event coordination, campsite preparation, reservation management, communication with you and your group, and the administrative support necessary to customize your experience.
This fee does not include tents, sleeping arrangements, décor, or any add-on packages.
Selecting Tents & Upgrades
Once the setup fee is completed, you will be able to:
Choose the number of tents you need
Select your preferred tent tiers (Basic, Comfort, Glamp, Luxury)
Add optional upgrades such as ambience, comfort bundles, dining packages, and celebration décor
All tents and add-ons are selected separately after this setup step.
Group Payment Options
After completing the setup fee, you may choose how your group will pay:
Organizer Pays: One person covers all tents and add-ons in a single checkout.
Individual Payments: Participants receive a private link to pay for their own tent or shared stay. Our system tracks payments automatically.
Your reservation becomes fully confirmed once the minimum required number of tents has been paid for.
Deadlines & Adjustments
All tent selections and payments must be finalized by your group’s payment deadline.
You may add tents, adjust tiers, or select additional upgrades at any time prior to the cutoff date. Changes after the deadline are subject to availability.
Cancellation Policy
The setup fee is non-refundable, as it covers the time and coordination required to begin your event. Full cancellation details can be found in our refund policy.
Arrival & Check-In
Your campsite will be prepared before your scheduled arrival. Once setup is complete, you will receive instructions for parking, check-in, and navigating your assigned campsite area.
